Position Summary
The Project Coordinator owns the full project lifecycle at Davison & Moore — from pre-construction through final closeout. Core responsibilities include material procurement, purchase and work order issuance, preliminary notice processing, and insurance certificate tracking. At project close, the Coordinator delivers complete warranty documentation for both products and labor. Throughout every phase, this role serves as a key point of contact for clients, vendors, and installers, collaborating closely with management, sales, accounting, and the warehouse to keep projects on track and customers satisfied.
Key Responsibilities
Project Administration
- Assemble and maintain required documentation in online portals once projects are opened
- Prepare submittal packages and monitor client approvals throughout the project lifecycle
- Prepare and send preliminary notices for all applicable projects
- Prepare required warranties and close-out documents at project completion
- Collect and track project-specific insurance certificates and additional insured endorsements; identify coverage gaps against contract requirements and escalate to management prior to mobilization
Compliance & Licensing
- Confirm prevailing wage applicability on each project; communicate DIR registration and certified payroll requirements to installation partners prior to mobilization and monitor compliance throughout the project duration
- Verify active DIR contractor registration for all installation partners and lower-tier subcontractors prior to project start; flag any gaps to management before work commences
Materials & Procurement
- Communicate with mills and distributors to determine product availability and confirm dye-lot compatibility
- Order materials and/or place holds, tracking multiple shipments across projects of varying complexity
- Make freight arrangements for product shipments in the most expeditious and cost-effective manner
Scheduling & Coordination
- Create purchase orders and work orders for installers
- Determine steps necessary to meet project deadlines; respond with urgency and flexibility to frequently changing project schedules
Financial Support
- Identify and flag project cost variances to the Project Manager
Qualifications
Required
- 2+ years of project coordination, administrative, or clerical experience, preferably in a construction or flooring environment
- Proficiency in Microsoft Office applications including Word, Excel, and Outlook
- Strong verbal and written communication skills
- Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously
- High school diploma or equivalent
Preferred
- Construction administration background including familiarity with reading construction plans
- Experience with NetSuite or comparable ERP system
- Associate's or Bachelor's degree
